The problem

Sales export quotes to PDF, email them, chase signatures, then forget to update the CRM — the pipeline report is always wrong.

The outcome

Signed quotes update Dynamics 365 automatically, so the forecast reflects reality and finance is notified the same minute.

Before you start

  • Dynamics 365 Sales with Word templates for quotes.
  • A custom column on Quote for Agreement ID.

Build it step by step

  1. Trigger on activation — Filter the trigger on statecode so it only fires when a quote is activated.
    Expression / setting
    statecode eq 1
  2. Generate the PDF — Use the Dataverse Perform an unbound action → ExportPdfDocument with your quote Word template, or attach a PDF generated by sales.
  3. Send for signature — Upload the PDF to Acrobat Sign and send to the quote's primary contact email.
  4. Store the ID — Update a row on the quote with the agreement ID.
  5. On completion — A second flow on the Acrobat Sign completion trigger finds the quote by agreement ID, attaches the signed PDF as a note, and runs the WinQuote / close-opportunity action.

Connector action names are shown as they appear in Power Automate at the time of writing; Microsoft and Adobe occasionally rename actions or add new versions.

Error handling

  • Prevent loops: the update in step 4 modifies the quote — add a trigger condition so the flow ignores updates where only Agreement ID changed.

Licensing

  • Dataverse is premium — Dynamics 365 Sales licences include Power Automate use rights for Dynamics data.

Variations

  • Use the Adobe Acrobat Sign for Microsoft Dynamics 365 app from AppSource for a no-code alternative.
