Adobe licence requests with manager approval and automatic assignment

Staff request Acrobat Pro or Creative Cloud in a form; on approval they're added to the right group and Adobe provisions the seat.

The problem

Licence requests come by email, IT assigns seats manually, and nobody knows who approved what.

The outcome

Self-service requests, approval trail, and seats assigned within minutes via group-based provisioning.

Before you start

  • Adobe Admin Console connected to Microsoft Entra ID (Azure AD sync or User Sync Tool) with product profiles mapped to security groups.

Build it step by step

  1. Request — User picks the product and gives a business reason.
  2. Approve — Manager approval, then IT/finance approval if the product is Creative Cloud Pro.
  3. Check available seats — Read a Licence Pool list; if none free, create a purchase request instead.
  4. Assign — Add user to group for the product's security group; Adobe sync provisions the seat.
  5. Confirm — Email the user installation instructions and log the assignment.

Connector action names are shown as they appear in Power Automate at the time of writing; Microsoft and Adobe occasionally rename actions or add new versions.

Error handling

  • Sync runs on a schedule — tell users their access may take up to the sync interval.

Licensing

  • Standard connectors; Entra ID group management requires admin-consented connections.

Variations

  • Route Creative Cloud requests through a 'try Adobe Express first' suggestion for occasional creators.
