The problem

Annual policy acknowledgements or renewal letters for hundreds of people are sent one by one.

The outcome

HR or sales send hundreds of individual agreements in one run, each tracked separately.

Before you start

  • An Excel table (Insert → Table) named Recipients with Name, Email, Reference columns.
  • An Acrobat Sign library template.

Build it step by step

  1. Read the list — List rows present in a table from Recipients. Turn on pagination (Settings → Pagination, threshold 5000) for long lists.
  2. Loop with throttling — Apply to each over the rows. Set concurrency to 5 to stay within Acrobat Sign API limits.
  3. Send each agreement — Create an agreement from a library template and send for signature using the row's email. Put the Reference in the agreement name so it's searchable.
  4. Write back the ID — Update a row in Excel with the agreement ID and timestamp so you can see what was sent.
  5. Summary to sender — After the loop, email the person who ran the flow the count sent and any failures.

    length(body('Filter_failed'))

Connector action names are shown as they appear in Power Automate at the time of writing; Microsoft and Adobe occasionally rename actions or add new versions.

Error handling

  • Collect failures into an array variable inside the loop (run-after: failed) rather than stopping the whole run.

Licensing

  • Standard connectors. Acrobat Sign also has a native Send in Bulk feature — use it when you don't need per-row data written back.

Variations

  • Use the native Bulk Send (Mega Sign) for very large sends; use this flow when each agreement needs different data.
