The problem
Acrobat Sign reminds the signer, but nobody internally notices that a key agreement has been stuck for two weeks.
The outcome
Owners and their managers get a daily digest of stalled agreements, so deals and onboarding don't quietly stall.
Before you start
- Agreements tracked in a SharePoint list or library with
Agreement ID,Sign Status,Sent OnandOwnercolumns (the contract-to-Sign flow above writes these).
Build it step by step
- Run on schedule — Add a Recurrence trigger with weekdays selected and the Malaysian time zone.
- Find stalled agreements — Get items with an OData filter for items still out for signature and sent more than 7 days ago.
Expression / setting SignStatus eq 'Out for signature' and SentOn lt '@{addDays(utcNow(), -7, 'yyyy-MM-dd')}' - Group by owner — Use Select to shape each row (name, counterparty, days outstanding) and loop over distinct owners with Apply to each over
union()of owner emails.Expression / setting union(body('Select_owners'), body('Select_owners')) - Find the manager — For each owner, Get manager (V2) from Office 365 Users.
- Post the digest — Post message in a chat or channel (Flow bot → chat with owner) with an HTML table built from Create HTML table. CC the manager when anything is older than 14 days.
Connector action names are shown as they appear in Power Automate at the time of writing; Microsoft and Adobe occasionally rename actions or add new versions.
Error handling
- Get manager fails for accounts without a manager — set that action's run-after to continue on failure and fall back to a shared mailbox.
Licensing
- Standard connectors only — covered by Power Automate in Microsoft 365.
Variations
- Call the Acrobat Sign API to cancel agreements older than 30 days and notify the counterparty.
