Automating document workflows with Power Automate and Acrobat Sign

Use the Acrobat Sign connector to trigger on agreement events, retrieve signed PDFs, archive to SharePoint, and notify Teams — with minimal manual handling.

Manual chasing of signed files creates risk and delay. Microsoft Power Automate + Adobe Acrobat Sign can run multi-step document pipelines from system events.

Core connector building blocks

  • Triggers — for example when an agreement is sent, completed, or expired (names vary by connector version).
  • Actions — create/send agreements, retrieve signed PDF / audit report, and pass agreement IDs into downstream steps.

Confirm your Acrobat Sign edition’s Power Automate entitlement with your Adobe reseller before promising premium connectors at scale. See also our Malaysia entitlement briefing.

Blueprint: automated contract vault

1. Trigger

Start with When an agreement signing is completed (or equivalent). Scope to the right Sign account/group.

2. Retrieve PDF

Add Get a PDF of a signed agreement (or download document). Pass the Agreement Id from the trigger.

3. Archive to SharePoint

Use SharePoint — Create file into a secured library (for example Contracts/Executed).

  • File name — compose tokens such as @{Company}_@{AgreementName}_Signed.pdf.
  • File content — map the PDF body from the Sign download step.

4. Notify

Post a Teams message to the owning channel: agreement name, sender, SharePoint link, and agreement ID.

  1. Complete — Sign marks agreement completed.
  2. Fetch — Flow downloads signed PDF (+ optional audit PDF).
  3. File — SharePoint create file with retention label / sensitivity label as per policy.
  4. Alert — Teams or email notification to owner.

Enterprise value

Automation reduces misfiled contracts, shortens “where is the signed copy?” searches, and keeps audit artefacts with the record. Pair with field-to-list mapping when form data must update SharePoint columns.
